Arcvision Education Ltd ("Arcvision Education", "we", "us", "our") provides live online maths coaching for UK students. We are the "data controller" responsible for your personal data under the UK GDPR and the Data Protection Act 2018.
Name, email address, phone number, billing details (processed by our payment provider — we do not store full card numbers), and any correspondence you send us.
Name, school year group, class enrolment, homework submissions and our feedback, attendance records, self-assessment quiz answers and scores, messages sent within the portal, and progress-report information.
Account and login (authentication) information, limited preferences stored in your browser (for example your selected class), and standard server logs (such as IP address) kept by our hosting providers for security.
We knowingly provide services to children under 18, always with parental or school involvement. Accounts for under-18s are set up by a parent, guardian or school. We follow the Information Commissioner's Age Appropriate Design Code: we collect only the data we need to deliver tuition, we do not use children's data for marketing or profiling, and a parent or guardian may access, correct or delete their child's data at any time.
Our live lessons are not recorded. If this ever changes, we will update this policy and tell parents and students in advance.
We never sell your data. We share it only with trusted service providers ("processors") who help us run the service, and with our tutors, under confidentiality obligations:
We may also disclose data where required by law, or to protect the safety of a child.
Some of our providers and tutors are located outside the UK (for example, certain providers operate in the United States, and some of our tutors are based in Uzbekistan). Where personal data is transferred outside the UK, we rely on appropriate safeguards such as UK adequacy regulations or the UK International Data Transfer Agreement / Addendum, and we take steps to ensure your data remains protected.
We keep student and account records for as long as the student is enrolled and for a reasonable period afterwards. Financial records are kept for approximately six years to meet tax and legal requirements. When data is no longer needed, we delete or anonymise it. You can ask us to delete data sooner where we have no legal reason to keep it.
Access to personal data is restricted to those who need it. Our platform uses authenticated logins and row-level security so that students and tutors can only see the data relevant to them. Payment card details are handled entirely by our PCI-compliant payment provider.
Under UK data-protection law you have the right to access, correct, delete, restrict or object to our use of your personal data, to data portability, and to withdraw consent. A parent or guardian may exercise these rights on behalf of a child. To make a request, email contact@ukmatholympiads.co.uk; we will respond within one month.
We use only essential cookies and browser local storage needed to keep you logged in and to remember basic preferences (such as your selected class). We do not use advertising or third-party tracking cookies.
If you have a concern about how we handle your data, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
We may update this policy from time to time. The "last updated" date at the top shows when it last changed. Significant changes affecting students or parents will be communicated directly.
